Updates

  1. You can now export the entire wiki to a backup zip file that can be accessed offline (for emergency purposes). This exports all wiki pages and attachments in a barebones format, that won't have the same functionality (or security restrictions) as Staff.Wiki but will allow policies to be accessed without access to the Internet. The operation is only available to admin users, and can be generated in the Configuration tab, under "Wiki Export". Click "Create Export" to perform the export. We recommend that clients run this operation regularly and download the resultant zip file to their network for safe keeping.

  2. You can now show Google Docs / Sheets etc. inline in an article, by pasting in the embed code that it provides you.  Note: The contents of the document will not be indexed, or changes to the content tracked.

  3. When viewing the history, only published versions will now be visible by default. You can select "Show All Drafts" to show all drafts, including drafts reassigned between users, along with any rejected drafts. It will now display the differences between those intra-versions only when 'Show All Drafts' is checked.

  4. In Compliance management, there is now an option to manage compliance exceptions, and find them using the AI engine (requires Enhanced AI to be enabled). These exceptions are existing policies that contain statements that may conflict, contradict or undermine objectives in a compliance framework. The AI engine will search through policies looking for statements that may not comply with the selected objective. They can help you ensure that all your policies are consistently promoting the same objectives or best practices across your organization.

  5. In Compliance management, there is now an action called "AI Review" on a framework. You can run this to either select an existing policy or enter in an adhoc scenario and have it use the AI engine to review whether the policy or scenario conflicts with any of the objectives in the compliance framework. It will simply display its review on the screen and will not store it. This requires Enhanced AI to be enabled. It can be useful to aid in decision making in case of any compliance concerns.

  6. In the editor, there is a new option in the dropdown menu "Insert Special", which provides the option of inserting an alphabetical index of all articles, a revision history or list of approvers into the article.
    1. Article will now display a revision history (change log table) at the end of the article if you insert the special code % REVISION LIST % (without spaces) in the article (or use the Insert Special action). This will show a list of revision dates, with the version, initiator and approvers. It will also include any review tasks that were completed for policy reviews. The change log will show just the first row by default, but can be clicked to expand to show all rows. 
    2. Article will list all the current approvers for the article (including any that are inherited from parent articles) if you insert % APPROVER LIST % (without spaces) into the article (or use the Insert Special action to do this).

  7. Approver chat changes:
    1. The approver chat now allows comments to be set as complete. This can be useful to keep track of whether suggestions have been implemented by the drafter. Any wiki manager can mark a comment as complete.
    2. If there any comments added during the approval process that weren't set as complete, the approver will now be warned before they can accept the change.

  8. Images can now be displayed full-width. Click on an image in the editor and select "Toggle Full-Width" from the editor menu (the dropdown icon in the toolbar).

  9. When editing, there is a dropdown menu next to "Diffs to Current" that now has an option "Show Preview" to show a preview of the current changes, to see how they would appear once published. This also works for testing checklist forms without actually starting a checklist.

  10. In the History view, if you are logged in as an admin, there are two actions that let you manipulate the history. This is intended if you are importing existing policies and need to set up the revision history to reflect how it was edited before the policy was imported. You'll find the options on the What's Next menu, "Force Delete Change" and "Force Duplicate Change Record", which will delete a history entry from the system, or duplicate the selected change record but put in a new date and version number.

  11. Several new security permission settings have been added to further restrict the Wiki Manager role actions to specific sections of the wiki. 

    1. Configuration setting "Only Approvers Request Acknowledgements", if set then only users designated as approvers on an article (or its parents) will be able to send acknowledgement requests for that article. Others will see an error, even if they are a wiki manager. Admins are exempt from this.
    2. Configuration setting "Only Approvers View History". If set then only users designated as approvers on an article (or its parents) will be able to view the full history of an article. Other users will see an error message when attempting to do so, unless they are an admin. They will also not be able to revert to previous history entries.
    3. Configuration setting "Only Approvers Run Page Reports". Is set, only approvers for a page can run reports that are specific to that page, including exporting checklist data and exporting to PDF for dates prior to the current date.
    4. Configuration setting "Only Approvers Add Page To-Dos". If set, only approvers for a page will be able to add tasks through the "Add To-Do" action, or set the policy review/expiration dates for those pages.
    5. User setting "Reports Show Approver Articles", if set to Yes will change any global reports the user runs so that it only lists articles (or related data) for which they are configured as approvers. Other articles will be omitted from the report.

  12. The contents of a change is no longer emailed out when requesting approval. Instead the user will have to click the link to review the changes. This is because the emails tend to be extremely large and use up unnecessary space. It also raised security concerns.

  13. The "Request Exemption" action approval setting can now be limited only to those who are risk analysts / compliance officers/analysts. This is set in the Configuration / Main Settings screen, under "Exemptions Reviewed by Risk/Compliance Only?".

  14. The "inline risk analysis" is now only viewable by Wiki Managers and Risk Analysts. End-users will see the text of the risk analysis, but will not be able to click on to view the details. This allows you to add risk analysis to articles without causing any confusion to your end-users.

  15. The option to download sample risk registers has been added back in. We now offer several sample risk registers you can download. This feature can also be used by partners to provide risk registers and analysis to their clients. There is also an option to keep the downloaded samples live, so that any updates to the original will be downloaded and installed automatically.

  16. Removing an article that is referenced by a compliance objective or risk mitigation will now show a warning before it's removed.

  17. The ability to add sub-tasks for any task has been reinstated. This is accessible through the What's Next menu when looking at a task (whether on a ticket, asset, policy or other place). 

  18. We now indicate previously-installed samples when inserting from the sample library. Anything that has already been installed will appear grayed-out (even if the title of the installed sample has changed).

  19. The "Install from Sample Library" action now lets you search the sample library for policies. It will show the search results as a list of articles, and you can click each entry to see a preview of the article, or click OK to install it. You can also enter in a question, and AI will suggest articles relevant to the question (if enabled on the sample library).

  20. There is a new action "Change User ID" on a user, available to admins, that will update the User ID (which is also the login ID). This action will also update historic records that refer to that user and can take time to run.

  21. To facilitate customers moving from Active Directory to Azure AD (now called Entra ID), we have provided an action in "AD Options" in the Configuration tab called "Convert All UsersIDs To Use Email". This is because Active Directory uses the user name only, and Entra ID uses the user's email address as the user ID. This action will update the User ID of all users so you can then use Entra ID's SCIM support.

  22. The report "Article Access By User/Date" now also shows the total view count for that user, rather than just the last date(s) the article was accessed.

  23. When installing risk registers or compliance frameworks from the sample library, there is now a "Keep Live" option. This will ensure that any changes to the risk register such as the addition of new risks will automatically be downloaded and added to your local copy even after it has been installed. The same applies to compliance frameworks. If a mitigation or evidence is added, then updates will not be applied to that particular risk or objective (as the mitigation may not relate to the newly titled risk or objective).

  24. You can now set up a report subscription for the "Download PDF" report, allowing you to have PDF versions of specific sections of the wiki emailed to you automatically. You can access this in Explore mode, in the hamburger menu under "Report Subscriptions".

  25. The metadata no longer shows the "posted date" if an original publication date is supplied in the "Metadata" form when editing.

  26. There is a new "All Keep-Live Pages" report that admin can run on the Configuration tab that will list all articles in the system that are connected to a sample library. It will also include risk registers and compliance libraries that are marked as 'keep live' or "continue updating automatically".

  27. The Customizable form feature of Incident Reporting is now available in Standard edition, not just Enterprise edition. 

  28. A new report "Acknowledgements History" has been added that will show all previously completed acknowledgements for the given number of years back.

  29. In Risk Management, now when you add a mitigation linked to a policy, it will automatically set the title of the mitigation to match the policy that was selected.

  30. The Remove Acknowledgements Bulk action now requests further confirmation, a detailed reason, and makes a log of this operation in the admin log. This is to ensure it isn't mistakenly invoked.

  31. Certain admin functions that perform operations that previously were not logged now make a log entry under Configuration / Admin Action Log. 

  32. There is a new action "Send Welcome Email" available to administrators on user records. This will send the user an email with instructions on logging in to the system. The action can also be invoked by multi-selecting users in bulk.

  33. Additional options for scheduling tasks/To-Do items: Every 6 months and every 2 years.

Fixes

  1. Fixed a problem with using the search input on mobile, where scrolling would sometimes cause the search window to close.
  2. Fixed an issue where the department was missing on the acknowledgements report.
  3. Fixed a problem with task repeat scheduling, where certain invalid settings in the frequency could cause multiple tasks to be created.
  4. Fixed an issue with rejecting reviews as an approver that would sometimes arise in certain circumstances. In this case an error would be displayed about a duplication and the rejection could not be completed.
  5. Fixed an error that can occur when inserting a PDF with no text (scanned).
  6. Fixed an issue with the toolbar in the editor being cropped when scrolling down.
  7. Editing and cancelling an edit will no longer update the revised date of the policy, as displayed in the metadata at the top of the article.
  8. Fixed an issue with very large policies timing out and displaying an error in the review/history page. Extended the amount of time allowed to process these differences to 30 seconds.
  9. Fixed an issue where the editor would sometimes leave behind a permanent blue highlight after undoing adding a link.

  11. Fixed the Articles By Approver reports to also show the tab that the article is on.
  12. Fixed an issue where leaving Active Directory support enabled with SSO enabled would stop the SSO from authenticating.
  13. Fixed an issue with quiz rollup, where adding sub-article quizzes would sometimes display an error upon taking the quiz.
  14. Fixed an issue with clicking update when reviewing changes as an approver. This now copies the intra-version history to the new draft it creates, previously it reset that history.
  15. Fix where sometimes the ID of the article would show up in the metadata table.
  16. Fixed an issue where sometimes (and for certain accounts) if you are in the editor and your session gets invalidated and logged-out, the editor would not notify you and will allow you to continue making changes that would not be saved. It now properly detects this situation and will inform the user to reload.
  17. Fixed an issue where sample policies downloaded and left as "live" would not be picked up by the AI Topic Tree creation or maintenance.
  18. Fixed an issue with canceling the quiz editor with the X in the corner, which stopped forms being opened until the page was refreshed.
  19. The admin user now also shows times in their local time-zone. Previously only non-admin users will see times locally.

  21. Fixed an issue where removing all approvers from a page would result in certain approvers still having access to that page when security permissions may otherwise restrict their access.
