Importing Documents

If you want to insert PDF or Word documents "as they are", you should use the "Insert PDF/Word" function in the editor. For more information, read here. Please note that you lose some functionality by not importing the document contents into our editor.

Importing Single Articles

If you have existing policy documents, we recommend storing all documents as wiki entries, rather than adding attachments to the article. This lets you track all the changes to the article, and show those changes in the approval request emails that are sent out, and also keeps the formatting uniform across the whole of your policies and procedures guide.

If you would prefer to just add a link to the existing document (perhaps as a temporary measure while you work on importing them properly), you can use the Upload button in the wiki editor to add a link to the document. Users can click that link to download and open the document.

To import the contents of your document into the article, for example from Google Docs or Microsoft Word, you can do this through the cliipboard while in the editor. Simply go to a new page form, and copy and paste the document contents into the editor.

When you perform this copy and paste, you may have to reformat the text to get it to look the way you want. Our platform deliberately does not have all the formatting flexibility and custom styles that word processors have, in order to keep a consistent look throughout your policy documents, and for you to focus on conveying important content rather than potentially distracting users with inconsistent styling.

Note: When pasting from Word for the web, you will need to first export the document as a .docx file, and open in Microsoft Word for the desktop. You will then be able to copy and paste from that application into your site's wiki editor. This is because of a limitation in clipboard support in the web version of Word.

Pasting from Microsoft Word

In many cases existing policies will be in Microsoft Word format. The simplest way to import these is to open the policy in Word, and then select the entire content and copy it to the clipboard, then paste it into the wiki editor.

Our platform has special support for content pasted from Word, and will attempt to convert certain formatting, fix certain spacing issues, and ignoring indentation margins unless in number or bullet lists in order to have the content lay out in a way that works with the responsive web interface.

Tip: Pasting from Google Docs is usually more effective than pasting from Microsoft Word, because Google Docs does a better job of converting the document into HTML. This is especially true if the content contains images. Because of this, to import Microsoft Word more effectively you may want to first open the Word document in Google Docs, and then copy and paste from the Google Docs instead.
