Sending Attestation Reminders
Attestation requests are workflow assignments in the system, which means they will be highlighted in red every time the user goes in to the site. Along with other assignments, users will automatically be reminded of their attestation each day if you set the Assignment Reminders setting on the User's profile to something other than "None" (set it to Daily or Weekly). It will then send out all assignments that are outstanding (as an email) to each user on a regular basis, which would include attestations.
Note: If it is set to "Default", then you can control those users centrally in the Configuration tab, under Main Settings, in the option "Default Reminders", which you can set to Daily or Weekly (or None to disable it).
You can track all outstanding attestations through reports. Go to the Dashboard, click Reports, and click on Acknowledgements Detail or Acknowledgements Summary and you can track who has or hasn't completed their attestation.
Outside of these automatic reminders, if your staff do not respond to these attestation requests in a timely manner, you can also send out reminders manually. Go to the article in question, then click Explore. Now click on the Acknowledgements tab at the bottom. Find the user that hasn't yet responded, and click the down arrow link at the end of the row. There you can click "Send Reminder", and it will send out a reminder email to that user to complete the attestation.
You can also multi-select users using the filled-in circle at the end, and then a button will appear at the bottom to send reminders in bulk. You can select ALL users from the dropdown menu at the top of that list.
You can also go to a specific user group and send all outstanding reminders for all users of that group. Simply login as administrator, go to Configuration / User Groups and find the user group in question. Click it and then you'll see the action "Send User Assignments". Any users in that group that have no outstanding assignments will not receive any emails.
To send reminders for a department, make sure the department has the setting "Create User Group" set to Yes, which will create a user group for that department. You'll then be able to run the same action on the department based group.
Reminders can also be sent adhoc from the Users tab. Just multi-select the users you wish to send reminders for and a button will appear at the bottom to send the reminders. You can filter in the Users tab also before selecting and sending reminders.
