Collaborative Policy Review
While the policy review task is usually assigned to a single person, that person can then start what's called a Collaborative Review. This is where a group would work together to review a policy, adding comments in parallel as it is reviewed, requesting changes are made by drafters, and repeating this process until all reviewers agree on the changes.
A user who is assigned as a policy reviewer can start this process by going to the policy review task and clicking the button "Start Collaborative Review".
This will bring up the following form where you can select the group who will be completing the collaborative review:
Note that the group you select must contain at least one Wiki Manager. All Wiki Managers in that group will be selected to start the collaborative review, receiving an email with the assignment details.
Once they click the link to view that, it will appear like an approval workflow. However, there will not be a button to reject the policy. Instead they can either accept or update the policy, typically first adding comments through the chat window on the side.
If any comments are added, then an update will be required (unless those comments are checked off).
If an update is started, the collaborative review will be suspended. The updater can reassign the draft to a different user to complete the changes, which must be checked off.
Once the update is published, the collaborative review will start again - where each reviewer will look through the new changes. Again, they must either accept the change, or add comments and update it.
Once all reviewers in the collaborative review group have accepted the policy, then the policy review task will be completed and scheduled for the next period.
Reporting
Information about collaborative reviews will be incorporated into the Policy Life Cycle report, that you can access on the Dashboard through the Reports button. While this usually just shows policy reviews for policies, any policy reviews that had a collaborative review will show additional information about the changes that occurred around the time of that review, including who was involved in that review:
